About the Role Our client, a well-established and growing accounting firm, is seeking an experienced Team Coordinator to join their business. Following a recent firm acquisition, they require additional senior-level coordination support across corporate secretarial, workflow management, WIP, client services and office operations. This is a pivotal role reporting directly to the General Manager, working closely with the Partners and leadership team to ensure the smooth running of the practice. For an exceptional candidate, there is scope for this role to evolve into a Practice Manager position. The firm consists of 16 staff, including 2 Partners and 2 accounting teams (each led by a Manager). They work with approximately 350 SME clients across tax, compliance and advisory (typically $2–5M turnover) in industries including construction, professional services, manufacturing and hospitality. What You’ll Be Doing Client Services Managing client onboarding and offboarding processes Acting as the first point of contact for key stakeholders and visitors Finalising tax return processes, including obtaining signatures and lodging Processing ABN and TFN applications Managing corporate secretarial services including entity setups and ASIC registrations Overseeing ongoing ASIC compliance and related communications Team & Workflow Support Coordinating workflow meetings and tracking action items Managing Manager calendars and scheduling Updating production management software and monitoring WIP Preparing document packs for client review and signature Generating production and performance reports Maintaining the firm’s virtual filing system Ensuring compliance with internal protocols and procedures Billing & Productivity Processing timesheets and supporting productivity tracking Preparing and distributing monthly performance reports Administration & Office Operations Coordinating meeting rooms and ensuring office technology runs smoothly Managing incoming and outgoing correspondence Liaising with building management for maintenance Maintaining the client database Drafting and formatting correspondence and client communications Ensuring branding consistency across templates and documentation The firm operates primarily on Xero, with exposure to QuickBooks and MYOB.
